Promec pulls estimating, bookings, MOT reminders, parts and customer messages into one program for independent garages across the UK. Invoices carry your VAT details; the return to HMRC still goes through your own MTD software.
This is the real Quotes screen: search by registration or customer, filter by status and open the AI analysis of any job.
Juggling five separate systems costs you bookings. See the ramps, the diary and the takings without switching windows.
Each new fault gets priced from a blank page, and a motorist left waiting simply rings the garage down the road.
Once the price has gone out, follow-up depends on someone remembering to pick up the phone, and on a busy week nobody does.
VAT records, invoices, bookkeeping and another subscription every time the rules move. Less time left for actual repairs.
The work between the phone call and the payment runs the same way in a Leeds unit as anywhere else Promec is used: estimates, the diary, the technician app, parts, customer messages and invoices carrying your VAT number and priced in pounds.
What Promec does not do in the UK is talk to HMRC. It is not Making Tax Digital software, so your VAT return keeps going through the bookkeeping or bridging software you already use, or through your accountant. A direct link to a tax authority exists today in five countries only: Spain, Mexico, Argentina, Chile and Colombia. Better you read that here than find out after signing up.
The phone rings, the car comes in, the work is signed off and the payment lands in the books, all on the same record.
Type in the customer's description or pull the fault codes, and the AI suggests the likely repair, then prices it with your own labour rate and parts margins.
Texts, emails and WhatsApp go out from the job itself, and each customer gets a link to follow the repair and say yes to extra work from their phone.
Invoices go out with your VAT number, sequential numbering and the rate you apply to each line, and every sale and expense is recorded as you go. Submitting the VAT return to HMRC is not built in: that step stays with your MTD-compatible software.
Promec decodes the fault codes from the car, keeps your stock of new and used parts, and holds the procedures your technicians keep asking for.
Book jobs into the diary, move them across the planner as the day changes and see how productive each technician really is. Technicians log their work from a phone.
None of this is sold separately: it sits inside whichever of the three plans you choose.
Calls to the garage come through Promec, so missed calls are visible and each conversation is summarised against the customer.
Drivers check themselves in while you are still under the bonnet.
Promotions go to the customers and vehicles already on your system, so there is no separate mailing list to keep.
Clocking on, holiday requests and staff records live next to the jobs.
Most garages put off changing systems because they dread the first fortnight. The learning material is there to shorten it.
The figures an owner checks each week, and a record of who changed what.
Clocking on, photos of the car, the job report and the customer's signature are all done beside the vehicle. Each one moves along the progress link the customer is watching.
Each driver gets a personal page with the job status, the estimate to approve, the paperwork and live video from the workshop camera.
Drivers log in to register their cars, look back over past work and get a nudge when the next service or MOT is due. The bookings come from people who already trust you.
Enquiries from your website arrive with the car and the fault already filled in, ready to price.
The AI replies with a price while the driver is still comparing garages.
MOT due, service interval or oil change: reminders that bring the car back without a phone call.
A review request goes out after each job, so more nearby drivers can find you.
In Great Britain a car needs its first MOT by the third anniversary of registration and a test every year after that, which makes it the most predictable booking an independent garage gets. Promec stores the due date on each vehicle, sends the reminder and lets the driver pick a slot from your online diary. Anything the test turns up can become an estimate on the same record.
VAT is the other constant. With a standard rate of 20%, a reduced rate of 5% and zero-rated items, the rate belongs on each invoice line, and the totals feed the day-to-day books Promec keeps. What goes to HMRC still leaves through your Making Tax Digital software or your accountant.
Customer details fall under the UK GDPR and the Data Protection Act 2018. Reminders go only to the contact details the customer agreed you could use, and every message is logged on their record, which helps when someone asks what you hold about them.

Ask us whether it is running in your part of the UK, and where it is we can turn on a steady flow of retail motorists looking for a repair near you. You decide what to accept and at what price, instead of relying on insurance or fleet work.

Customers, vehicles and past jobs are imported while the old system carries on billing.
Your labour rate goes in and the AI prices its first real job.
Drivers start following repairs and approving work by link.
Estimates and WhatsApp reminders now run by themselves.
Send us an export from your current garage software and our team loads it into Promec. The old system carries on invoicing until the new one has been checked.
Data transfer may carry additional costs depending on the source system and data volume. See terms.
Start with 3 months for €1 and cancel whenever you like from your subscription area. Pick your billing cycle above.
Prices exclude VAT, for businesses and self-employed. €1 in total for the first 3 months, taxes included. From the fourth month the chosen plan is billed automatically. No lock-in: you can cancel before that date. You also have a 15-day money-back withdrawal right. Calls and WhatsApp usage are billed separately.
Every module takes over something that is done today on paper, in a spreadsheet or from memory. Here is what each one handles, and what you need to hand it on the first day.
Instead of a paper job card on the dashboard, the job opens from the registration: mileage, the customer's complaint, the condition the car arrived in and photos taken on a phone. Parts, hours and approvals attach to that job, so nothing depends on who happened to take the keys. Set-up: registration, VIN where you have it, customer invoice details and your labour rate.
Labour and parts lines build the estimate; the customer accepts or declines from a link, and an accepted estimate turns into the job without retyping. The invoice comes from the finished job with sequential numbering and your VAT details. Set-up: your invoice series, VAT rates, job-type rates and how customers usually pay.
Each part number carries a bin location, cost, selling price and minimum level. Fitting a part to a job takes it out of stock, and anything under its minimum lands on the reorder list. Supplier delivery notes are checked against orders, so you can see what is paid for, what is still due and what has sat on the shelf too long. Set-up: a parts list with cost and price, your suppliers and one stock count.
Jobs are booked against a ramp and a technician with an expected duration, so you know whether Thursday really has room before promising a car back. Online bookings drop into the same diary, and cars waiting for parts stay visible without blocking a slot. Set-up: ramps, opening hours, technicians and how long your common jobs take.
The customer hears when the estimate is ready, when work starts and when the car can be collected, on the channel they chose. MOT and service reminders go out ahead of the due date, and each message stays on the record. Set-up: contact details the customer agreed you could use, and each vehicle's MOT due date.
Sales by period, margin split between labour and parts, estimates sent against estimates accepted, ramp occupancy and the mix of job types all come from work already recorded. Two questions they answer quickly: does the labour rate cover your costs, and which part are you buying dear and selling cheap? Set-up: nothing extra.
You send whatever export your current system produces, and we clear out the duplicates first (the same customer twice, one part under three descriptions). The data lands in a test environment so you can check invoice numbers and stock, then you configure ramps, rates and who can see what. For the first days, raise new invoices in Promec while the old system stays read-only, and train reception, technicians and admin separately on your own jobs. Your data can be exported at any time, including the day you leave.
No. Promec does not connect to HMRC and is not Making Tax Digital software. VAT-registered businesses have to keep digital VAT records and submit returns through MTD-compatible software unless they are exempt, so keep using yours for the return. Promec issues the invoices, with your VAT number and the rate on each line, and records the sales and expenses behind them. Direct links to tax authorities currently exist only in Spain, Mexico, Argentina, Chile and Colombia.
The ones you set up. The UK has a standard rate of 20%, a reduced rate of 5% and a zero rate for certain goods and services; which one applies to a job is your call or your accountant's, not the software's.
Record the MOT due date on the vehicle and Promec reminds the customer on the channel they agreed to. In Great Britain a car needs its first MOT by the third anniversary of registration and then every year; Northern Ireland has its own rules, so go by the date on the vehicle's certificate.
No fixed term. The first three months cost €1, and after that you can cancel whenever you like from your subscription area. There is also a 15-day money-back period.
The Promec price list is published in euros. The invoices you raise for your own customers use the currency you configure, pounds sterling included.
Yes. Send us the export your system can produce (customers, vehicles, estimates, invoices) and our team cleans it and loads it. Inbound migration is included; some source systems or very large volumes can carry extra cost, as the terms explain.
No. Promec runs in the browser on the reception computer, and technicians add it to their phone like an app. Users and vehicles are unlimited.
Three months for €1, no fixed term, 15 days to change your mind and data migration included.
Write to us and we'll show you how Promec can help. No obligation.
