Invoices. Revenue Regulations No. 8-2022 require duly registered, serially numbered invoices showing the TIN, and only those generated from authorised sources count for tax purposes. Exporters, e-commerce businesses and large taxpayers must also issue e-invoices and transmit sales data to the BIR's Electronic Invoicing System. Promec does neither: it keeps job orders and statements, while official invoices come from your registered system.
VAT. The BIR levies 12% VAT on the sale of services. Promec applies the line only if you configure it.
LTO renewal. Renewing a vehicle's registration involves an inspection report and proof of compliance with emission standards. A reminder from Promec gives the owner time to book a pre-renewal check.
Privacy. The Data Privacy Act of 2012 covers personal data collected by private businesses and is administered by the National Privacy Commission.

A job order is created from the plate number. The service advisor encodes mileage, the customer's concern, the unit's condition on arrival and phone photos. Parts used, labor hours and approvals stay on the same job order. Prepare: plate number, chassis or engine number if available, the customer's billing name and TIN for business accounts, and your labor rate.
Estimates are built from labor and parts lines and sent as a link to approve or decline. An approved estimate becomes a job without re-encoding, and the billing statement comes from the completed job with a running number, your TIN and the VAT line you set. It is not a BIR-registered invoice: issue the official one through your authorised system. Prepare: statement series, VAT treatment from your bookkeeper and payment modes such as cash, card or e-wallet.
Each part has a location, cost, selling price and reorder level, and can be tagged brand-new or surplus. Using a part on a job deducts it, and low stock shows on the reorder list. Supplier deliveries are matched to purchase orders so you see what is paid, what is pending and what is slow-moving. Prepare: parts list with cost and price, suppliers and a physical count.
Bookings go to a bay and a mechanic with an estimated duration, so you know if Saturday really has room before promising a release date. Online bookings land in the same schedule, and units waiting for parts stay visible without blocking a bay. Prepare: bays, shop hours, mechanics and typical job durations.
Customers are notified when the estimate is ready, when work starts and when the unit is ready for release, on the channel they chose. PMS reminders and reminders before registration renewal go out automatically and are logged. Prepare: mobile and email with consent, and each vehicle's registration expiry if you want reminders.
Sales per period, labor versus parts margin, estimates sent versus approved, bay usage and job mix are drawn from recorded work. They show whether your labor rate covers overhead and which parts are priced too low. Prepare: nothing extra.

No. Promec is not registered with the BIR as a Computerized Accounting System and has no Permit to Use or EIS certification, so its statements are not valid invoices for tax purposes. Keep issuing official invoices from your BIR-authorised system or booklet and file returns with your bookkeeper. Promec handles job orders, estimates and internal records. A tax-authority link in Promec exists only for Spain, Mexico, Argentina, Chile and Colombia.
Only if the BIR covers you. Revenue Regulations No. 8-2022 name exporters, e-commerce businesses and taxpayers under the Large Taxpayers Service; others may keep using registered manual or system-generated invoices. Promec does not transmit to the EIS in any case.
Yes, you configure the VAT line yourself. The BIR applies 12% VAT on the sale of services, but whether your shop is VAT-registered or under percentage tax is your bookkeeper's call.
Yes. Save the registration expiry on the vehicle and Promec sends a reminder. The LTO asks for a motor vehicle inspection and proof of emission compliance on renewal, which is a good reason for the owner to book a check with you first.
The Data Privacy Act of 2012 applies to anyone collecting and processing personal data, and the National Privacy Commission enforces it. Promec stores consent and a log of every message; your shop remains responsible for its own compliance.
