Jobs, AI quotes, bookings, WoF reminders, parts and customer texts in a single cloud program built for independent mechanics throughout New Zealand. GST shows on your invoices; filing the return with IRD happens outside Promec.
The real Quotes screen: search a plate or a customer, filter by status and pull up the AI analysis for any job.
Running a workshop across half a dozen systems means dropped balls. Hoists, bookings and money coming in, on one page.
Each problem gets costed from the ground up, and a customer who hasn't heard back by smoko has already rung another workshop.
The price goes out, no one gets back to the customer, and the job you pencilled in never turns up.
GST on invoices, receipts for the accountant, the next return to get ready and one more software bill each month. None of it fixes a car.
From a two-hoist workshop in Timaru to a busier one in Hamilton, the cycle doesn't change: a booking, a car dropped off, a quote the owner okays, the parts, the work and the bill. Promec runs that cycle on a single job, with invoices in New Zealand dollars that show your GST number and the GST charged.
Promec is not connected to Inland Revenue. GST returns still get filed in myIR, through your accounting software or by your accountant, and payroll is outside Promec as well. A direct connection to a tax authority is offered in just five countries: Spain, Mexico, Argentina, Chile and Colombia. We'd rather say so here.
The call, drop-off, the owner's okay, the repair and the payment land on one job, so nothing gets typed into a second system.
Enter what the owner reckons is wrong or plug in for the OBD codes; the AI narrows down the likely repair and costs it with your hourly rate, your parts pricing and your usual jobs.
Texts, emails and WhatsApp messages are sent from the job, and every owner gets a page to check progress and okay any extra work from their phone.
Invoices carry your GST number, a sequential number and the GST worked out on each line, and income and costs are entered as they happen. Promec doesn't file the GST return: that still goes to Inland Revenue through myIR, your accounting software or your accountant.
Promec spells out what the car's OBD codes mean, keeps tabs on new and second-hand parts in stock, and keeps workshop documents where your mechanics can grab them.
Plan the day in the booking diary, shift cars on the planner when a part's held up in freight and see how many hours each mechanic is really producing. Mechanics record their jobs on a phone.
All of this comes as standard with each of the three plans.
Your workshop number rings through Promec, missed calls don't disappear, and every call gets a summary saved against the owner.
Owners check their own car in while you're still stuck under a job.
Campaigns go to the owners and vehicles already in Promec, so there's no extra contact list to keep up.
Clocking on, leave requests and staff details sit next to the jobs.
Most workshops hang on to old software because the changeover feels risky. The tutorials are there to make the first few weeks easier.
What the owner checks every week, with a trail of who changed what.
Clocking on, photos of the vehicle, job notes and the owner's signature all get done beside the car. Every step shows up on the progress page the owner is checking.
Every owner gets a personal page with the job's progress, the quote to okay, the paperwork and live video from the workshop camera.
Owners sign in to add their vehicles, check what's been done before and get a reminder before the next service or WoF. The work comes from people who already trust your workshop.
Enquiries from your website arrive with the vehicle and the issue already filled in, ready to cost.
The AI gets a price back while the owner is still ringing round.
WoF expiring, a service due or an oil change: reminders bring the car in without a phone call.
Every finished job triggers a review request, which helps people nearby find you online.
The warrant of fitness brings cars in on a schedule. NZTA has announced changes to light vehicle inspections from 1 November 2026, including longer intervals for newer vehicles and extra checks on some safety systems, so the interval a car was on last time may not be the one it's on next. Promec doesn't inspect vehicles or issue warrants; it stores the expiry against the plate, reminds the owner in advance and turns any failed items into a quote on the same job.
GST is charged at 15%, and registered businesses file returns with Inland Revenue on their set filing frequency. Promec puts your GST number and GST on each invoice and keeps the income and expense records. The return itself goes through myIR, your accounting software or your accountant.
The Privacy Act 2020 applies to businesses of every size, and its information privacy principles cover how you collect, store, use and share personal information. Promec only messages the contact details an owner agreed to, and every message is kept on their record, so a request to see their information is simple to deal with.

Owners, vehicles and past jobs are brought in while the old program handles the invoices.
Your hourly rate goes in and the AI costs a real job.
Owners follow the job and okay extra work by phone.
AI quotes and WhatsApp follow-ups running without you.
Grab an export from your current system and our team brings it into Promec. The old program keeps invoicing until the new one has been double-checked.
Data transfer may carry additional costs depending on the source system and data volume. See terms.
Start with 3 months for €1 and cancel whenever you like from your subscription area. Pick your billing cycle above.
Prices exclude VAT, for businesses and self-employed. €1 in total for the first 3 months, taxes included. From the fourth month the chosen plan is billed automatically. No lock-in: you can cancel before that date. You also have a 15-day money-back withdrawal right. Calls and WhatsApp usage are billed separately.
A lot of workshops still keep jobs on a clipboard, bookings on a wall calendar and follow-ups in someone's head. Each module takes one of those off your hands. Here's how, and what information to pull together first.
A job starts with the plate. The odometer, what the owner says is going on, any dings already on the car and a couple of photos are added at the counter. Everything after that, from parts ordered to hours clocked and the owner's okay, sits on the job, not on whoever took the keys. Pull together: plate, VIN if handy, the owner's billing details and your hourly rate.
You build the quote from labour and parts lines and send it as a link the owner can accept or decline. Once accepted it turns into the job, with no retyping. When the work is finished, the invoice is created from the job with a sequential number, your GST number and GST on each line. Pull together: invoice numbering, which lines carry GST, prices for your standard jobs and how owners usually pay.
Every part number stores where it's kept, what it cost, what you sell it for and a minimum on hand. Fit it to a job and the stock count drops; go under the minimum and it's added to the order list. Supplier invoices are matched to orders, so you know what's paid, what's still in freight and what hasn't moved off the shelf. Pull together: a parts list with cost and sell price, your suppliers and one stocktake.
Each booking is set against a hoist and a mechanic with an expected time, so you know if Thursday is genuinely clear before promising the car back. Online bookings drop into the same diary, and cars waiting on parts stay visible without taking up a hoist. Pull together: hoists, opening hours, your mechanics and the usual time for common jobs.
Owners get told when the quote is ready, when work starts and when the car's good to go, by whichever channel they picked. Service and WoF reminders go out before the due date, and every message is kept on the owner's record. Pull together: contact details the owner has agreed to, and each vehicle's WoF expiry.
Sales for any period, what labour earns compared with parts, quotes sent against quotes accepted, how busy the hoists are and what kind of work is coming through, all from jobs already recorded. Two things become obvious quickly: whether your hourly rate covers your overheads, and which parts you're selling for less than you should. Pull together: nothing else.
Send whatever export your current program can produce, and we clean it up first (the same owner entered twice, one part with three descriptions). It's loaded into a test copy so you can check invoice numbers and stock, then you set up hoists, rates and who sees what. For the first few days invoices come out of Promec while the old program stays read-only, and the counter, the mechanics and the office each learn it on real jobs. Your data can be exported whenever you like, including if you leave.
No. Promec isn't connected to IRD and doesn't file GST returns or payroll. It produces invoices with your GST number and the GST on each line, and records sales and expenses, so the figures are ready for your accountant or accounting software. A direct link to a tax authority is available only in Spain, Mexico, Argentina, Chile and Colombia.
You set it. GST in New Zealand is 15%, and you choose which lines carry it. What counts as a taxable supply, and what your invoices need to show, is set by Inland Revenue; your accountant can confirm anything unusual.
Yes. Enter the WoF expiry on the vehicle and Promec reminds the owner before it runs out. Promec doesn't carry out inspections or issue warrants. NZTA is changing how often light vehicles need a WoF from 1 November 2026, so always work from the expiry date on the vehicle's label rather than a fixed interval.
No. The first three months cost €1, and you can cancel from your subscription area any time after that. There's also a 15-day money-back window.
Promec publishes its prices in euros. The invoices you send your own customers use the currency you set, New Zealand dollars included.
Yes. Send us the export your system produces (owners, vehicles, quotes, invoices) and our team cleans it up and loads it. Migration in is included; some source systems or very large volumes can cost extra, as the terms explain.
€1 for three months, no fixed term, a 15-day money-back window and we bring your data across.
Write to us and we'll show you how Promec can help. No obligation.
