Where does eTIMS fit? KRA expects VAT-registered businesses to generate their tax invoices through eTIMS and to be onboarded on it. Promec does not do that step. It keeps the job card, the quote and the invoice for your records with a 16% general rate or whatever rate you set, and your eTIMS invoice is issued separately. Seeing both side by side on the job makes it easy to check that nothing was missed.
And M-Pesa? There is no M-Pesa connection in Promec. Payments that arrive by M-Pesa, bank or cash are marked against the invoice by hand, and the entry lands in the books.
Inspections and data. NTSA carries out inspection of public service and commercial vehicles, so garages serving matatus, lorries or company vans can save each vehicle's inspection date and send the owner a reminder. The contact details behind those reminders fall under the Data Protection Act, 2019, supervised by the Office of the Data Protection Commissioner.

Each module takes over a job currently done in a counter book, on WhatsApp or in somebody's head. Below: what it covers and what to prepare before day one.
The job opens from the number plate. Mileage, the owner's complaint, the state of the car and photos from a phone go on the card, and every spare fitted, hour worked and approval given hangs from it afterwards. If the person who received the car goes home, the job is still complete. You need: number plates, chassis number when you have it, owner details and your labour charge.
Lines for labour and spares make up the quote. The owner accepts or rejects it from a link, and an accepted quote becomes the job without typing it twice. When the car is ready, the invoice is built from the finished job with running numbers and the VAT rate per line. Promec does not replace eTIMS: if you are VAT registered, the tax invoice still comes from there. You need: invoice series, VAT rates, charges per type of job and how customers normally pay.
Every part number has a shelf location, buying price, selling price and minimum level. Fitting a part to a job lowers stock automatically, and anything under its minimum goes onto the order list. Supplier delivery notes are matched to orders, so you know what is paid, what is still coming and what has not moved for months. You need: a parts list with prices, your suppliers and one stock count.
Jobs are booked to a bay and a fundi with an expected duration, so you can see whether Friday is really free before promising the car back. Online bookings land in the same diary, and cars waiting for spares stay visible without holding a bay. You need: bays, opening hours, staff and typical job times.
The owner is told when the quote is ready, when work starts and when the car can be collected, on the channel they agreed to. Service and inspection reminders go out before the due date, and every message is saved on the record. You need: phone numbers and emails the owner agreed you may use, and any inspection dates you track.
Sales per period, labour against spares margin, quotes sent against quotes accepted, bay use and job mix, all from work already entered. Useful for checking whether your labour charge covers your costs and which spare you are selling too cheaply. You need: nothing extra.
Send whatever your current system or spreadsheet exports. We remove duplicates first (one owner saved twice, one part under three names), load everything into a test copy for you to check, and then you set up bays, charges and user permissions. For the first days invoice in Promec while the old records stay read-only, and train reception, mechanics and the office separately on your own jobs. You can export your data whenever you want, including the day you leave.
No. Promec has no connection to KRA or eTIMS. KRA says a tax invoice should be serially numbered and generated from eTIMS, and that every VAT-registered taxpayer must onboard on eTIMS. Promec handles the job, the quote, your internal invoice and the books; the eTIMS tax invoice and the VAT return stay with KRA's systems or your accountant. Direct links to tax authorities exist only in Spain, Mexico, Argentina, Chile and Colombia.
Promec has no M-Pesa integration. When a customer pays by M-Pesa, bank transfer or cash, you mark the invoice as paid with the method used, and the payment is posted to your books.
The rate that applies to each line. KRA lists 16% as the general rate for taxable goods and services, with zero-rated and exempt supplies treated differently. Deciding which applies is for you or your accountant; Promec simply applies what you configure.
Your garage collects names, phone numbers and vehicle details, so the Data Protection Act, 2019 applies to it. The Office of the Data Protection Commissioner runs registration for data controllers and processors on its portal. Promec only sends reminders to the contacts the owner agreed to and keeps a record of every message.
