Under GST e-invoicing, a business in scope uploads its B2B invoice to an Invoice Registration Portal. The portal returns a unique Invoice Reference Number, signs the invoice and adds a QR code that anyone can use to check it offline. Promec does none of that. It prepares the bill with your GSTIN and tax lines; registration on the IRP stays with your GST software or your CA.
On the road side, a Pollution Under Control certificate follows a set format with a QR code and is generated through the national register of motor vehicles by authorised centres. A valid PUC is also asked for in several registration services on Parivahan. Saving its validity date on the vehicle lets Promec remind the owner in time, which is also a natural moment to offer a service.
Customer details fall under the Digital Personal Data Protection Act, 2023, whose rules were notified in November 2025. Reminders go only to numbers the owner agreed to share for that purpose, and each message stays on record.

The handwritten job card becomes a digital one opened from the registration number. The advisor records odometer reading, the owner's complaint, fuel level and dents or scratches with phone photos. Spares issued, labour time and approvals all attach to that card, so the history does not depend on one person. Keep ready: registration number, chassis number where known, the owner's billing name and GSTIN if it is a business, and your labour charges.
An estimate is built from labour and spares lines and shared as a link the owner can approve or reject. Once approved it turns into work without typing it again, and the bill is produced from the closed job with a running number, your GSTIN and the tax lines you defined. Promec does not register that bill on the IRP. Keep ready: bill series, the tax rates your accountant applies to labour and to spares, and payment modes you accept.
Each spare carries a rack location, purchase cost, selling price and reorder level. Issuing a spare to a job reduces stock, and anything below its level appears on the purchase list. Supplier bills are matched to purchase orders, so you know what is paid, what is pending and what has not moved in months. Keep ready: a spares list with cost and price, supplier names and one physical count.
Appointments are booked against a bay and a mechanic with an expected duration, so the advisor knows if Saturday is genuinely free before promising delivery. Online bookings land in the same plan, and vehicles waiting for spares stay visible without blocking a bay. Keep ready: number of bays, working hours, mechanics and time taken for your common jobs.
The owner is told when the estimate is ready, when work begins and when the vehicle can be collected, on the channel they agreed to. Service and PUC reminders go out before the date saved on the vehicle, and each message is logged. Billing by period, margin on labour versus spares, estimates shared versus approved, bay usage and the share of each job type come from work already recorded. We remove duplicates first, such as one owner saved under two mobile numbers or a spare listed three ways, and load everything into a test copy for you to check bill numbers and stock.
