Owners log in, list their cars, check earlier repairs and get a reminder before servicing or roadworthy renewal. That brings back people who already know your fitters.
Roadworthy certificates. DVLA sends private and commercial vehicles to certified Private Vehicle Testing Stations for inspection, and a roadworthiness sticker is issued when the car passes. For a fitting shop, the weeks before a test are when owners want brakes, lights and tyres checked. Promec stores the expiry date against each registration and reminds the owner in time, so the preparation work comes to you.
E-VAT. GRA describes E-VAT as an electronic system for issuing VAT receipts for VAT-registered businesses, with receipts that carry a QR code for verification. Promec is not part of it. It gives you numbered invoices with your tax settings and a full record per car; E-VAT receipts are issued in the GRA system.
Customer data. Owner names, phone numbers and repair history are personal data under the Data Protection Act, 2012 (Act 843), and the Data Protection Commission keeps the register of data controllers. Promec only contacts owners on channels they accepted and records every message.

The registration number opens a job card. On it go the owner's complaint, the mileage, how the car looked on arrival and photos taken with a phone. Spare parts, hours and the owner's approvals are added to that card, so the history of the job stays in one place even when the fitter who received the car is off. Collect: registration numbers, chassis numbers if known, owner details and your service charge.
You build an estimate from labour and spare parts lines and send the owner a link to accept or refuse. Accepted estimates become jobs automatically. At the end, the invoice is created from the job with a running number, your TIN and the taxes you configured on each line. E-VAT receipts are not produced by Promec. Collect: invoice series, the tax settings your accountant confirms and your usual payment methods.
Each spare has a location, a buying price, a selling price and a minimum quantity, whether new or home-used. When a fitter uses one on a job, stock falls; below the minimum, it goes on the reorder list. Deliveries are checked against orders, so you know what is paid, what has not come and what is gathering dust. Collect: a list of spares with prices, your suppliers and a single stock count.
Cars are booked to a bay and a fitter for an expected time, so you can see if Saturday is truly available before promising a car back. Web bookings join the same schedule, and a car waiting for spares stays in sight without taking a bay. Collect: bays, working hours, fitters and usual job lengths.
Owners hear when the estimate is ready, when work starts and when to collect the car, on the channel they chose. Duplicates are removed first (the same owner entered twice, a spare named three ways), the data goes into a test copy for your review, and then you set up bays, charges and permissions. In the first days, invoice in Promec while old records remain for reference, and train reception, fitters and accounts one group at a time on your own cars. You can export your data whenever you choose, even when leaving.
No. E-VAT is GRA's electronic system for issuing VAT receipts, offered either as a standalone system or as a version integrated with a business's own invoicing. Promec is neither and has no link to GRA. It keeps your estimates, invoices and books; E-VAT receipts and tax filing stay with the GRA system and your accountant. Only Spain, Mexico, Argentina, Chile and Colombia have a direct tax-authority link in Promec.
Whatever you configure. You can set up more than one tax line and apply it per invoice line. Promec does not work out which taxes apply to a repair; confirm that with your accountant or GRA.
Yes. Record the expiry date on the car and Promec sends the owner a reminder before it, on the channel they agreed to. The inspection itself is done at a DVLA-certified Private Vehicle Testing Station.
The Data Protection Act, 2012 (Act 843) requires data controllers and processors to register with the Data Protection Commission, and processing personal data without registering is an offence under the Act. Check your position with the Commission. Promec helps by logging each message sent and limiting staff access by role.
Promec has no mobile money integration. When an owner pays by mobile money, bank or cash, you mark the invoice as paid with that method and the entry goes into your books.
