Work orders, AI estimates, appointments, parts and customer texts together in one web-based program for independent repair shops coast to coast. You enter the GST, HST or PST that applies; returns go through your accountant.
Here is the real Quotes screen: find a plate or a customer, sort by status and open the AI breakdown for any estimate.
Managing a service department with too many logins costs you work orders. Hoists, appointments and sales at a glance.
Every concern gets priced from nothing, and a customer who waits all morning for a number drives to the next shop.
Estimates are sent and forgotten, so approved work that should fill a hoist never comes in.
Provincial and federal tax lines, bookkeeping, filing season and another monthly software charge. Hours that never turn a wrench.
Whether the shop is in Moncton or Kamloops, the work follows the same path: a call or a walk-in, a vehicle on the hoist, an estimate the customer approves, parts, labour and a final bill. Promec runs that path on one work order, with invoices in Canadian dollars and the sales tax lines you configure for your province.
What it does not do is file anything. There is no connection to the Canada Revenue Agency or to Revenu Québec, and Promec does not prepare GST/HST or provincial sales tax returns. Only five countries have a built-in link to their tax authority today: Spain, Mexico, Argentina, Chile and Colombia. You should hear that from us up front.
Appointment, check-in, customer approval, repair and payment are all recorded against the same work order rather than across several programs.
Type the customer's concern or scan the trouble codes, and the AI points to the probable repair and prices it with your door rate, your parts matrix and your own labour guide.
Texts, emails and WhatsApp messages leave straight from the work order, and each customer gets a link to follow the repair and approve additional work from a phone.
Invoices show your business number, a sequential invoice number and the tax you configure on each line, whether that's HST alone or GST with PST or QST. Income and expenses are recorded as they happen. Filing with the CRA or your province is not included: that stays with your accountant.
Promec translates the vehicle's OBD codes into plain language, tracks new and used parts inventory, and keeps the shop's service documents where techs can reach them.
Schedule the day, drag work orders on the planner when a part is back-ordered and measure the hours each tech actually produces. Techs update their jobs from a phone.
Each plan, from the smallest to the largest, already comes with everything in this list.
Calls to the shop ring through Promec, so a missed call gets noticed and every conversation leaves a summary on the customer's account.
Customers check themselves in while your service advisor is busy.
Promotions use the customer and vehicle records already in the system, so there is no separate list to build.
Time punches, vacation requests and employee files next to the work orders.
Shops often delay a software change because they worry about the transition. The built-in lessons are meant to make it quicker.
What a shop owner reviews every week, plus a record of who edited what.
Time punches, vehicle photos, tech notes and the customer's signature all happen beside the vehicle, and each one updates the status page the customer can open.
Each vehicle owner gets a personal link with the repair status, the estimate to authorize, the documents and live video from the shop camera.
Vehicle owners sign in to add their vehicles, review past repairs and get a notice before the next maintenance is due. The appointments come from customers who already chose your shop once.
Online requests arrive with the vehicle and the concern already entered, ready for an estimate.
The AI replies with a price before the customer finishes calling other shops.
Oil changes, seasonal tire swaps or scheduled maintenance: reminders bring the vehicle in without a phone call.
A review request goes out after every repair, which helps nearby drivers find the shop online.
Sales tax. A shop in Ontario or the Atlantic provinces charges HST. In Alberta and the territories it's GST alone, while British Columbia, Saskatchewan and Manitoba add a provincial sales tax, and Quebec adds the QST. Promec lets you set up the lines that match your location and prints them on every invoice. Remitting the tax and filing the return are done outside the program, by you or your accountant.
Safety inspections. There isn't one national standard. In Ontario, a used vehicle cannot be plated after a sale without a safety standards certificate, and only a ministry-licensed inspection station can issue one. Promec doesn't produce certificates; it keeps the date on the vehicle, reminds the owner and turns failed items into an estimate on the same work order.
Customer data. PIPEDA covers private-sector businesses that handle personal information in commercial activity. Alberta, British Columbia and Quebec have their own private-sector privacy laws recognized as substantially similar. Promec sends messages only to the contacts a customer consented to, and every one is saved on the account.

Ask whether it's active in your province. Where it is, we can turn on a stream of retail customers near your shop asking for repair estimates. You choose the work and the price, instead of depending on insurance or fleet accounts.

Customers, vehicles and repair history come in while the old program keeps invoicing.
Your door rate is entered and the AI writes a live estimate.
Owners follow repairs and authorize work from a phone.
AI estimates and WhatsApp follow-up run on their own.
Export your data from the current shop management system and we convert it into Promec. The old system stays in use for invoicing until everything checks out.
Data transfer may carry additional costs depending on the source system and data volume. See terms.
Start with 3 months for €1 and cancel whenever you like from your subscription area. Pick your billing cycle above.
Prices exclude VAT, for businesses and self-employed. €1 in total for the first 3 months, taxes included. From the fourth month the chosen plan is billed automatically. No lock-in: you can cancel before that date. You also have a 15-day money-back withdrawal right. Calls and WhatsApp usage are billed separately.
Each part of the program replaces something a shop still does on a clipboard, in a spreadsheet or by calling around. Below: what it does, and the information to gather before you start.
The service advisor opens the work order from the plate or VIN, records the odometer reading, the customer's concern and the vehicle's condition, and adds photos from a phone. Every part ordered, every hour logged and every authorization is then attached to that work order, not to whoever happened to be at the counter. Gather: plate, VIN, the customer's billing details and your door rate.
An estimate is built from labour operations and parts, then sent as a link the customer can authorize or decline. Once authorized it becomes the work order, no retyping. At the end the invoice is created from the closed work order with sequential numbering and the tax lines for your province. Gather: your invoice numbering, the GST/HST, PST or QST rates you charge, standard labour operations and accepted payment methods.
Every part number stores its bin, cost, retail price and reorder point. Adding it to a work order reduces the quantity on hand, and anything below its reorder point shows on the purchase list. Vendor invoices are matched to purchase orders, so it's clear what is paid, what is back-ordered and what has not moved in months. Gather: a parts list with cost and retail, your vendors and one physical count.
Each appointment is assigned to a hoist and a technician with an estimated duration, so the advisor knows whether Tuesday has room before promising the vehicle back. Online requests arrive in the same calendar, and vehicles waiting on back-ordered parts stay visible without tying up a hoist. Gather: hoists, shop hours, technicians and flat times for your common jobs.
The owner is told when the estimate is ready, when the repair starts and when the vehicle can be picked up, on the channel they gave you. Reminders for scheduled maintenance, or for an inspection date you enter, are sent ahead of time and saved on the account. Gather: phone and email with the customer's consent, plus any due dates you want reminders for.
Sales by period, labour gross profit versus parts gross profit, estimates written versus estimates sold, hoist utilization and job mix, all drawn from work already recorded. Two answers come quickly: whether your door rate covers overhead, and which parts sell below what they cost you. Gather: nothing extra.
Send whatever export your current system allows, and we remove duplicates first (one customer in twice, a single part listed three ways). The data is loaded into a test environment so you can verify invoice numbers and inventory, and then you set up hoists, rates and user permissions. During the first days, new invoices come out of Promec while the old program is kept for lookups only, and advisors, techs and office staff each get training on real work orders. Your data can be exported at any time, including if you cancel.
No. Promec has no connection to the Canada Revenue Agency or Revenu Québec and does not prepare or file sales tax returns. It creates the invoices with the tax lines you configure and records sales and expenses, so your accountant has the numbers. A built-in link to a tax authority exists only in Spain, Mexico, Argentina, Chile and Colombia.
You set the tax lines for your location. Participating provinces charge HST; the others charge GST, and some add a provincial sales tax or, in Quebec, the QST as a separate line. Rates change from time to time, so check the CRA's current table and confirm with your accountant what applies to parts and labour.
It can store an inspection date on the vehicle and remind the owner. Promec does not issue certificates: in Ontario, for example, a safety standards certificate comes from a ministry-licensed inspection station, and other provinces set their own requirements.
Yes. Messages can go out in the customer's language, so an English-speaking advisor can still send updates in French. Invoice wording is set up by you.
No. The first three months cost €1, then you can cancel any time from your subscription area. A 15-day refund window also applies.
Promec publishes its price list in euros. The invoices you issue to your own customers use the currency you configure, including Canadian dollars.
Yes. Send us the export your system can generate (customers, vehicles, estimates, invoices) and our team cleans and imports it. Inbound migration is included; certain source systems or very large data sets can involve extra cost, as the terms explain.
Three months for €1, no term contract, a 15-day refund window and data conversion included.
Write to us and we'll show you how Promec can help. No obligation.
