Job cards, AI quotes, bookings, parts and customer texts in a single browser-based system for independent mechanics around Australia. Tax invoices show your ABN and GST; lodging the BAS is still done outside Promec.
The Quotes screen as your service desk sees it: look up a rego or a customer, filter by status, open the AI read-out on any job.
Keeping a workshop going on a pile of apps means jobs slip. Hoists, bookings and takings on a single screen.
Each fault gets priced line by line, and a driver who hears nothing by lunchtime books in with the mechanic up the road.
The quote goes out, nobody follows it up, and the hoist you kept free for that job stays empty.
GST on invoices, receipts to file, the BAS coming round again and yet another subscription. None of it gets a car back on the road.
A workshop in Geelong or Townsville runs the same daily loop as any other: someone rings, a car rolls onto the hoist, parts get ordered, the customer says yes and the invoice goes out. Promec handles that loop from one login, with tax invoices showing your ABN and GST, priced in Australian dollars.
Promec does not connect to the ATO. It does not lodge your BAS and it is not a payroll or Single Touch Payroll product, so those stay with your accounting software or your bookkeeper. A live link to a tax authority exists in five countries only: Spain, Mexico, Argentina, Chile and Colombia. Worth knowing before you sign up, not after.
Booking, drop-off, approval, repair and payment all hang off one job card, so nobody has to re-enter anything.
Pop in what the driver told you or pull the OBD codes; the AI suggests the likely fix and prices it with your hourly rate, your parts markup and your own price list.
SMS, email and WhatsApp go out from the job itself, and every customer gets a link to watch progress and approve extra work on their phone.
Each tax invoice carries your ABN, a running invoice number and the GST on every line, and money in and money out is recorded as it happens. Lodging the BAS with the ATO is not part of Promec: that stays with your accountant or your usual software.
Promec explains the OBD codes pulled from the car, tracks your new and second-hand parts on the shelf, and keeps your workshop procedures one tap away.
Load the day into the booking diary, shuffle cars on the planner when a part runs late and see what each mechanic actually turns out. Your team logs jobs from their phones.
Everything below comes with each of the three plans, not as a paid extra.
The workshop number rings inside Promec, so missed calls show up and every chat is summarised on the customer's file.
Customers check themselves in while you're flat out in the workshop.
Offers go to the customers and cars already in your system, so there's no second mailing list to maintain.
Clocking on, leave requests and staff details sit alongside the jobs.
Plenty of workshops stick with old software because they dread the changeover. The tutorials are there to make those first weeks shorter.
The numbers an owner checks every week, and a log of who changed what.
Clock-on, photos of the car, notes on the work and the customer's signature are all done next to the vehicle. Every step moves along the job link your customer has open.
Every driver gets their own page showing where the job is up to, the quote waiting for approval, the paperwork and live video from the workshop camera.
Customers log in to add their cars, look up past work and get a heads-up before the next service falls due. The bookings come from people who already know your workshop.
Website enquiries turn up with the make, model and problem already filled in, ready to price.
The AI sends back a price while the driver is still ringing around.
Logbook service, oil change or a safety check coming up: reminders bring the car in without you picking up the phone.
A review request follows each job, which helps locals find you when they search.
There is no single national inspection. In NSW, most light vehicles more than five years old need a safety check before their rego can be renewed, and only an authorised inspection station can do it. In Victoria, a roadworthy certificate is generally needed when a car is sold or re-registered, issued by a licensed tester at an approved workshop. Other states and territories set their own rules. Promec doesn't issue any of those documents; it stores the date against the vehicle, reminds the customer and turns any defects into a quote on the same job.
GST works the same everywhere. If you are registered, the tax invoice needs your ABN and the GST amount, and the GST collected goes to the ATO through your business activity statement. Promec takes care of the invoice and the records; the BAS itself is lodged outside it.
On privacy, the Privacy Act 1988 and its 13 Australian Privacy Principles cover larger businesses, and some smaller ones are exempt. Either way, Promec sends reminders only to contact details the customer has agreed to, and logs each message on their file.

Ask us whether it's running in your part of Australia. Where it is, we can switch on a flow of private motorists near your workshop asking for quotes. You pick the jobs and set the price, rather than living off insurance or fleet work.

Customers, cars and job history are imported while your old system keeps billing.
Your hourly rate is loaded and the AI prices a real job.
Drivers follow the job and approve extra work from their phone.
AI quotes and WhatsApp follow-ups now run without you.
Send an export from your current workshop system and our team loads it into Promec. Keep billing on the old one until the new setup has been checked.
Data transfer may carry additional costs depending on the source system and data volume. See terms.
Start with 3 months for €1 and cancel whenever you like from your subscription area. Pick your billing cycle above.
Prices exclude VAT, for businesses and self-employed. €1 in total for the first 3 months, taxes included. From the fourth month the chosen plan is billed automatically. No lock-in: you can cancel before that date. You also have a 15-day money-back withdrawal right. Calls and WhatsApp usage are billed separately.
Most of what follows is done today on a paper job card, a whiteboard or somebody's memory. For each module: what changes, and what you need ready on day one.
The job starts from the rego. Odometer, what the driver says is wrong, any existing damage and a few phone photos go in at the counter. From there, parts ordered, hours booked and every approval attach to that card, so it doesn't matter who took the keys. Have ready: rego, VIN if you've got it, the customer's billing details and your hourly rate.
Build the quote from labour and parts lines and send it as a link the customer accepts or knocks back. An accepted quote becomes the job without typing it twice. When the work's done, the tax invoice comes straight off the job with your ABN, a running number and GST per line. Have ready: invoice numbering, which items are taxable, your standard job prices and how customers normally pay.
Every part number has a shelf location, buy price, sell price and a minimum. Fitting it to a job drops the stock count; falling under the minimum puts it on the order list. Supplier invoices are matched to orders, so you can tell what's paid, what's still coming and what's gathering dust. Have ready: a parts list with cost and sell price, your suppliers and one stocktake.
Cars are booked to a hoist and a mechanic with an expected time, so you can see if Friday afternoon really has space before promising a pick-up. Online bookings land in the same diary, and cars waiting on parts stay in view without holding a hoist. Have ready: number of hoists, opening hours, your mechanics and how long your usual jobs take.
The customer hears when the quote's ready, when the car goes in and when it can be collected, by the channel they picked. Reminders for the next service, or for an inspection date you've recorded, go out ahead of time and stay logged on the file. Have ready: contact details the customer agreed you could use, and any due dates you want to track.
Takings by period, labour margin versus parts margin, quotes sent versus quotes won, hoist utilisation and the mix of work, all built from jobs already entered. Two things you'll spot fast: whether your hourly rate covers your costs, and which parts you're buying high and selling low. Have ready: nothing more.
Send whatever export your current program gives you and we tidy it first (a customer entered twice, one part under three names). It goes into a test copy so you can check invoice numbers and stock levels, then you set up hoists, rates and who sees what. For the first few days new invoices go out of Promec while the old program stays read-only, and the front counter, mechanics and office are shown the ropes separately on real jobs. You can export your data whenever you want, including if you leave.
No. There is no connection to the ATO, and Promec doesn't lodge activity statements or handle Single Touch Payroll. It produces tax invoices with your ABN and the GST shown, and records the sales and expenses behind them, so the figures are there for your accountant or your BAS software. Direct tax-authority links exist only in Spain, Mexico, Argentina, Chile and Colombia.
You choose the GST treatment for each item. Most workshop labour and parts are taxable at 10%, and anything GST-free can sit on the same invoice as its own line. The ATO sets what a tax invoice must show, and whether a particular sale is taxable is for you or your accountant to decide.
Yes, as a date you store on the vehicle. Inspection rules are set by each state and territory, not nationally: NSW asks for a safety check at renewal for most light vehicles over five years old, while Victoria asks for a roadworthy certificate when a car is sold or re-registered. Record the date that applies and Promec sends the reminder.
No. The first three months cost €1 and you can cancel from your subscription area at any time after that. There's also a 15-day money-back period.
Promec's price list is published in euros. The invoices you issue to your own customers use whatever currency you set, Australian dollars included.
Yes. Send us the export your system produces (customers, vehicles, quotes, invoices) and our team cleans and loads it. Migration in is included; some source systems or very large volumes can cost extra, as the terms explain.
Three months for €1, no lock-in contract, 15 days to change your mind, and we move your data across.
Write to us and we'll show you how Promec can help. No obligation.
